Job Description

The Project Coordinator supports the execution of projects by maintaining structured project controls across multiple concurrent engineering projects. This role is responsible for WBS tracking, milestone monitoring, document control, and proposal deadline coordination to ensure project flow remains disciplined and predictable. The position also supports billing readiness by confirming timesheet completion and preparing organized invoice backup documentation. Success in this role requires strong organizational systems, advanced Excel and MS Project proficiency, and the ability to calmly enforce deadlines within technical teams.

Compensation and Benefits

Annual Salary Range: $ 65,000 - 75,000

Responsibilities

Project Setup & Control

  • Establish and maintain structured project folder systems.
  • Set up and maintain WBS tracking.
  • Maintain project deliverables logs.
  • Track milestone schedules.
  • Coordinate internal project kickoff meetings.

Proposal Support

  • Track proposal deadlines.
  • Maintain proposal tracking log.
  • Support compilation and submission coordination.

Billing Readiness Support

  • Confirm timesheet completion with Project Managers.
  • Validate scope alignment prior to invoicing.
  • Prepare invoice backup documentation packages.
  • Track billing status internally.

Document Control

  • Issue formal transmittals.
  • Maintain revision and issuance logs.
  • Ensure deliverables are archived accurately.

Qualifications

Must Have:

  • Diploma or degree in Engineering Technology, Construction Management, Project Management, or related field preferred. Equivalent project coordination experience in engineering or construction environments will be considered
  • 2–4 years experience in municipal, engineering consulting or construction sectors
  • Experience supporting multiple concurrent technical projects
  • Comfortable with Microsoft 365 Applications and Google Workspace
  • Advanced proficiency in Excel
  • Advanced proficiency in MS Project
  • Based in the Vancouver area and able to commute to the office 4 days/week


Nice to Have:

  • Experience working closely with a supervisor or team
  • Experience working within a structured PMO environment preferred
  • Ability to proactively identify areas where support is needed
  • Ability to prioritize tasks and meet deadlines

Growth Path

This role is designed with advancement in mind. High performers may progress into a Senior Project Coordinator role with increased responsibility across portfolio reporting, PMO systems development, and internal process leadership.
